The goal for any business is to increase profits while minimizing expenses. There are many ways to shield your bottom line from unnecessary expenses, and one way to do that is to keep a tight leash on your copier machine and what it does. If you micromanage your copier usage, you can save your company a significant amount of money in the long run. There are many representatives that do whatever it takes to make a sale at the expense of the client, but not all them. While some are willing to push off extra costs to the unwitting client, whether knowingly or not, it is not an inherent trait copier representatives, here are two tips to avoid getting hit with those extra costs:
- First, avoid paying for any lease that charges for scans. If the lease stipulates that you have to pay for scans, ask them to remove it entirely. Scans are typically free. If it is necessary to pay for scans, it should never cost more than $.0015 per scan, whether in color or monochrome.
- If the copier prints in color, train your employees about the nuances of cost when it comes to printing color versus monochrome, and 1-click versus 2-click charges.
